Tips on Getting Everything Transferred from the Previous Treasurer

Here are some items to be addressed by every incoming treasurer before it is time to start your first month end closing process. Once you complete them, they won't have to be done again. And the sooner you make sure they are finished, the easier your job will be.

  1. If your church uses AdventistGiving, and if you have not already done it, print the “AdventistGiving Add/Change information” form and ask your pastor to sign it, so that you can have your own AdventistGiving login. If you are not asking for a login for an assistant treasurer, leave that section blank. Then fax or email the form to AdventistGiving. You will find the information for sending it to them at the top of the page.
  2. If you are not yet set up at the bank as a signer, please work with your pastor to get that done as soon as possible. The process is more complicated than it used to be, but please persevere.
  3. Once you are a signer on the bank account(s), ask to have your bank set you up with online access. Then you will be able to print bank statements and make transfers as needed.
  4. Find out where the church bills are being mailed so you can make sure they are being paid during this transition. If they are being mailed to the former treasurer, do a change of address. This, too, is sometimes more complex than it used to be, so the ideal might be for it to be mailed to the church or a church PO box, not to a treasurer's home.
  5. Find out where the bank statements are being mailed, or if they are just accessed electronically. If all church mail, like bills and statements, are being mailed to the church, find out who picks up and sorts the mail. Find out where treasury mail is placed, then check that location on a regular basis.
  6. Ask the outgoing treasurer if your church has a church treasurer email address set up and make sure that you can access it, (one specifically for treasury, not just a generic church email address). If there is one, check it at least once a week, because bills, statements, and emails with important information will be coming to that email.
  7. If your church has a Revolving Fund Savings account, make sure that the conference office has your email address so you can receive the statements. If your church has an email address set up for the church treasurer, then hopefully it is already being sent there and you should leave it that way.
  8. If your church is utilizing Locally-Funded Payroll for employees (like a janitor or lawn person), make sure that your conference office has your email address so you can receive the statements.
